Objectives​

The issue wasn't a lack of documentation, it was a lack of a reliable, intuitive way to surface the right information at the right time.

A large electric utility distributor, manages thousands of employees across full-time and part-time roles, each covered by their own set of HR, compliance, and workplace policies. The documentation existed. The problem was getting to it.

Search tools returned irrelevant results. Documents were long and difficult to navigate. Version differences between employee groups created confusion. When employees couldn't find answers on their own, they turned to HR teams, creating a bottleneck that slowed decisions and frustrated everyone involved.

The downstream effects compounded: delays in accessing accurate information slowed decision-making, strained relationships between employees and HR, and consumed meaningful hours every week across the organization.

Solutions

An intelligent document ingestion pipeline that processes thousands of documents, automatically detects updates, and keeps the assistant’s knowledge base current in real time.

Plain language query support. Employees ask questions naturally, in their own words, and get clear and direct answers.

Trusted citations with source references and highlighted bounding boxes, so every response is verifiable and transparent.

Multi-platform delivery via web browser and Microsoft Teams, meeting employees where they already work.

Results

Once the assistant went live, the difference was noticeable quickly. Employees spent less time searching and more time doing actual work, and the support teams that had been fielding a constant stream of policy questions got meaningful relief. Across the board, the team saw:
